A new home
for your content.
Considerations When Switching to a New CCMS explored the strategic and practical questions behind a platform change.
Andrew Douglas + Lief Erickson
Business needs. Content operations. Migration choices.
The original conversation
Start with the reason to move.
Switching to a new CCMS affects the way a team creates, organizes, approves and delivers information. The decision reaches beyond the choice of software: it changes the working home of the content itself.
Bluestream’s Andrew Douglas and structured content consultant Lief Erickson were the announced speakers for a conversation about the reasons for making that move, the logistics involved and the implications of different approaches.
The official event description put total cost of ownership in a wider context. Alongside financial considerations, it highlighted the business value of customer engagement and improvements to the content operating model.
The decision framework
Four questions worth keeping.
The following editorial framework builds on the event’s announced themes. It is a practical planning aid, not a transcript or report of what the speakers said.
What should improve?
Describe the specific problem a change should solve. Slow releases, repeated manual work or a disconnected delivery process give a team something concrete to investigate. A platform comparison is more useful when success is defined first.
What actually has to move?
Inventory the content and its dependencies, including media, links, conditions, metadata and publishing configurations. Identify what should be retained, repaired or retired before treating the move as an export-and-import exercise.
How will people work?
Consider authors, reviewers, administrators and localization teams. Map the intended review and approval responsibilities. A technically successful migration still needs a workable day-to-day process.
What does ownership involve?
Build a picture of the effort beyond the initial purchase: preparation, configuration, conversion, integration, training and ongoing administration. Compare the costs against the operational benefits the team actually expects.
