Indra Navia - Uniting ERP, CRM, CPQ & CCMS to create Dynamic Customer Documentation
About Indra Navia
Indra Navia AS is a high-technology company delivering safety-critical air traffic management solutions to 1,400 airports in more than 120 countries.
The Challenge
Technical documentation in Indra Navia serves multiple purposes; it is used for both bid production, marketing collateral and the project phase.
The bid team needs to reply to statements of compliance and adapt content accordingly, creating complicated document packages. The documents were created in MS Word with much time spent searching, copying and manual handling/editing content. Without a technical writer resource, many different authors and different styles, many new functions were left undocumented.
Indra Navia reached out to regional Bluestream partner Docstream for guidance.
The Solution
Realizing the content lifecycle required a complete overhaul Indra Navia elected to:
- (Re-)structure and modularise documents, breaking up the content into small pieces, making text more generic, and adapted for re-use.
- Separate content from formatting and automatically generate different versions of a document from the same source.
- Provide more accessible, searchable and updated content to internal and external customers.
- Single source different outputs.
- Re-use content throughout product life-cycle.
- Enable release-based publishing (from 1-2 releases per year to 4-5 per year).
- Create a flexible portal where users can Configure solutions and automatically generate Pricing, Quotation and Project Documentation.
T2 was able to publish all DITA documents directly to the Salesforce-integrated T2 Knowledge Base for Single Sign On and Search.
The Result
The resulting solution, (known in-house as Electa), is built on e-Con CPQ, and extended by Docstream, is an online tool for fast and efficient bid configuration.
Users are led through a series of tabs/screens where they can select the required components that form a proposed solution. These screens are prepopulated with existing data from the Lime CRM (customer information) and Microsoft Dynamics AX (ERP system providing product pricing).
The system then automatically generates Pricing, Quotation and Project Documentation from Bluestream XDocs in the required format.
Indra Navia created a flexible portal where users can configure solutions and automatically generate Pricing, Quotation and Project Documentation.
Conclusion
Companies providing complex solutions with almost indefinite configuration possibilities face a huge challenge when it comes to producing accurate and timely documentation. With information stored across multiple systems this challenge is multiplied exponentially.
